The intent of this position is to create and maintain a professional presence in the office and community. The position supports employees in the office and others who are involved in Iowa State University Extension and Outreach (ISUEO) and is responsible for coordinating and promoting Extension programs.

- Office Duties
- Maintain a professional atmosphere through courteous and efficient service.
- Coordinate with the Office & Program Director on work tasks and project workflow.
- Prepare and mail letters, recruitment pieces, news releases, booklets, programs, meeting notices, and minutes accurately and efficiently.
- Maintain county ISUEO web page and calendar.
- Maintain the MyData system for the county, including program and event information, contacts, and impact numbers.
- Provide support for county office staff and other ISUEO personnel.
- Work with the Regional Director to create Council agendas.
- Prepare all materials for ISUEO Council meetings, and file documents.
- Assist Regional Director with scheduling staff meetings and note-taking.
- Prepare rooms for meetings and trainings as needed.
- Attend required meetings.

- Bookkeeping
- Complete assistant bookkeeping duties as directed.
- Send monthly bill and deposit information to the external bookkeeper when applicable.
- Maintain and file employment records, including time sheets.
- Distribute W-2 and 1099 tax forms at end of year.
- Support staff with proper fiscal procedures implemented by ISUEO.
- Send bills with appropriate information to agencies for reimbursement of grant funds.
- Print and maintain checks and financial reports.
- Assist Regional Director with budget analysis and preparation.
- Prepare and make weekly bank deposits.
- Organize records for audit.
- Complete other tasks as assigned.
- Bookkeeping

- Office Support
- Coordinate with the Regional Director and Program & Office Manager regarding daily operations of the office.
- Serve as a support person for state and county extension staff.
- Maintain office coverage in collaboration with the Office & Program Manager and Regional Director for vacation or sick leave.
- Handle tax and benefit paperwork for staff.
- Support new employee training in collaboration with the Regional Director and Program & Office Manager.
- Order the following for new employees: ISU name badge, ISU business cards, and supplies.
- Review vendors for price and service comparison, and order supplies and resources as needed.
- Maintain inventory of office supplies, equipment and furniture.
- Work with volunteers, and other staff to carry out mission of ISUEO.
- Keep staff informed of new information pertinent to office operations.
- Maintain confidentiality on all ISUEO business.
- Participate in professional development opportunities and trainings related to job responsibilities. Travel reimbursement at the IRS rate.

- Works with stakeholders and ISU Extension & Outreach Program Specialists to schedule, promote and implement researched-based, educational programs to improve quality of life in Davis County.
- Programing
- High school degree required. Post-secondary degree in related field preferred.
- Excellent organizational skills, communication skills, written and verbal skills, and computer skills required.
- People oriented individual, skilled in customer relations, team player, and a self-starter.
- Must be able to multi-task and be detail oriented.
- Experience in record keeping and payroll procedures.
- Experience in office management and administration preferred.
- Good communication, written and verbal skills.
- Good organizational and computer skills.
- Demonstrates effective use of basic office machines.
- Valid driver’s license and reliable transportation.
- Employment contingent on successful screening in Child Protection Safety Program.
- Able to lift 25 pounds or more.
