Objective

To provide essential day-to-day office and program support.

Responsibilities
  • Open office at 8:00 am and close the office at 4:30 pm on Monday- Thursday. Occasional Fridays, nights and weekend hours.
  • Maintains a positive working relationship with staff and clients in the county.
  • Advocate for all Extension programs.
  • Provides excellent customer service to clients through phone, email, and in person.
  • Assists county director with coordination of extension council meetings by preparing board packets.
  • Provide program logistics and support with county staff and program specialists. May include assisting with off-site programming.  
  • May assist in managing local data collection with MYDATA in line with program area requirements.
  • Assists with building maintenance and property management as needed. Responsible for maintaining bulletin board and front office for welcoming appearance. Have current materials on display. Coordinate internal and external reservations and use of the conference rooms.  Set up conference room for scheduled meetings and ensure they are clean and ready for next user(s). Coordinate registrations for programs.
  • Use standard policies and procedures regarding county business operations and council relations.
  • Oversee equipment supplies and inventory balances.
  • Continually develop and enhance relevant skills and understand current professional standards.
  • Manages with ANR Program Coordinator commercial and private pesticide applicator, commercial and confinement site manure certification renewal programs, and Master Gardener program.
  • Organize and maintain office files, office supply cupboards, copy paper shelves, publications, and equipment inventory.
  • Sort and deliver mail to staff, prepare individual mailings and packages for shipment. Maintain postage records.
  • Assists with volunteer records and background screenings as required in risk management policies.
  • Completes Assistant Bookkeeping duties:
  • Ensures financial documentation is complete for annual audit.
  • Provides monthly financial reports to staff, master gardeners, 4-H clubs and council members.
  • Must follow fiscal policy and procedures.
  • Initiates accounting transactions by writing receipts, make change for clients, preparation of deposits, makes bank deposits. Processes payables/expenditures and ensuring checks are mailed.
  • Manages obtaining signatures by treasurer/designees, ensures checks and all financial documents are timely distributed.
  • Coordinates credit card transactions and reports
  • Create invoices and reconcile outstanding checks.
  • Follow all financial retention policies for grants, revenue, expenditures, receivables, and other required reports.
  • Implements internal control procedures for separation of duties.
  • Coordinate 4-H Club account requests and processing club deposits, finance claim forms, generate monthly financial emails.
  • Other duties as assigned.
Qualifications
  • Associate degree or two years office management experience
  • Bookkeeping experience
  • Strong written and oral communication skills
  • Computer, organizational, and problem-solving skills
  • Team player and people oriented
  • Ability to work without direct supervision
  • Excellent customer service skills
