Upgrade to Outlook 2007

If you have not upgraded from Office 2003 (specifically Outlook 2003), you will need to do so ASAP (or get your email through Outlook Web Access) to continue receiving email without interruption. As mailboxes move to new 2007 servers, you'll need Outlook 2007 or access your email via the web (http://exchange.iastate.edu).

Extension offices received an Office 2007 disk in February, 2007. If you can't locate your disk, you can order a replacement through Extension Distribution.

Accessing Your Email outside the ISU Network

There are several ways to access your email when you're not connected to the ISU Network (on campus or in a field office). The simplest is to use Outlook Web Access (OWA) through your web browser (exchange.iastate.edu). This method is simple and works on both your own machine and a borrowed or public computer.

In addition, you can access Exchange with your laptop when you're at home or on the road by installing VPN, which stands for Virtual Private Network, on your computer. This allows you to establish secure communications over insecure networks and access your email. Instructions for setting up VPN on your computer are available online.

Finally, you can connect to Exchange over HTTP, which allows Outlook to send Exchange information through a secure proxy. It's important to note that if you set this up, you'll need to enter your username and password every time you open Outlook even when you're on the ISU network.

Tips and Tricks: Recovering Deleted Items in Outlook

It's happened to all of us. You delete an email on purpose or by accident and then discover later that you need to refer to the information.

Deleting and Recovering Items in Outlook
There are two ways to delete items in Outlook. The most common is to highlight a message or calendar item and click 'Delete' (either the icon in the toolbar, the menu item under 'Edit' or by right-clicking and selecting 'Delete' from the popup menu). Items deleted this way can be recovered from your Deleted Items Folder, if you haven't emptied the folder.

You can also delete items by pressing Shift-Delete which permanently deletes the item without first placing it in the Deleted Items Folder.

If you've already emptied your Deleted Items Folder or permanently deleted an item with Shift-Delete, you can still recover an item within three weeks of deleting it.

To Recover Deleted Items:

  • Click on the Deleted Items folder
  • From the Tools menu, select Recover Deleted Items
  • Select the items you want to recover
  • Click on Recover Selected Items

Where we are

Since beginning the Outlook-Exchange rollout last fall, we've converted nearly 900 staff to new email and calendaring.

You have all been a huge part of making the conversion successful. Thanks for setting aside the time to attend training, to sign up for accounts, and to switch to the new system.

More Outlook/Exchange Training

When we introduced Outlook and Exchange to Extension staff last fall, we concentrated on email and individual calendars. However, as many of you have discovered, Outlook and Exchange can do much more.

We are about to roll out what we're calling Phase II Outlook-Exchange training. Topics will include:

  • Group scheduling: creating, using, editing
  • Sharing calendars: optional, current settings, setting permissions, accessing a shared calendar
  • Resources: what they are, resource policies, scheduling
  • Tasks: creating, editing, completing
  • Tips & Tricks: adding holidays to your calendar, dragging and dropping shortcuts
  • Getting help
  • Review of: contacts, quotas, archiving, meetings

Training (schedule coming soon) will be offered in each area. You can sign up for training in your area or in another location if it's closer or more convenient. Phase II training is optional and we know that not everyone will be able to attend. In addition to face-to-face training, we're also going to hold monthly Breeze meetings on specific topics. Online resources, including videos and documentation, will also be available.

Upcoming Outlook-Exchange classes

We are offering a few additional introductory Outlook/Exchange classes for people who weren't able to attend during the initial rollout.

The following classes are being offered on-campus:

January 25, 2006 | 1:30 to 4:30
February 13, 2006 ! 1:30 to 4:30

Signups for these classes will close one week ahead of the class date. So, in order to attend the January 25th class, you need to sign up no later than Wednesday, January 18th. For the February 13th class, you need to sign up by Monday, February 6th.

Also, please remember that Outlook/Exchange accounts are setup and email forwarded at midnight 3 working days before the class so if you sign up for one of these classes and find yourself unable to attend, you will need to cancel by noon on the day accounts will be set up (this will be Friday, January 20th for the January 25th class and Wednesday, February 8th for the February 13th class).

Outlook Distribution List Size Limits

Distribution lists (lists of email addresses) in Outlook 2003 come with a size limit. This is based on the size of the individual contacts not strictly on the number of contacts. However, the upper limit will generally be around 125 to 130 contacts (and may be lower if you're storing additional information about individual contacts).

For larger lists, mailing lists maintained directly on the ISU mail server have several advantages over application distribution lists.

This week, the first batch of Exchange email accounts will be set up in anticipation of Outlook-Exchange classes starting in the field next week. For more details on when accounts are setup, when you will want to configure your Outlook to receive mail and when classes are scheduled, check the Week of Sept. 26th-30th post for this week's schedule and the Week of Oct 3-7 post for next week's schedule.

Other items you might want to check:

Outlook-Exchange Rollout Schedule

The rollout of Outlook-Exchange for ISU Extension includes training dates, closing dates for training, deadlines for cancellation, deadlines for account setup, dates for informational meetings via Breeze, dates for you to set up Outlook to receive mail, and other key dates and times.

To help you keep track of the dates and times that matter to you, I will be posting week by week schedules on Tech News. You can access these schedules from the main Tech News page or by going directly to the Outlook-Exchange Rollout Schedule.

Note: So as not to overwhelm everyone's email (I know you're getting plenty of Tech News mail already), I won't be sending these week by week schedules out to everyone via the Tech News mailing list, but I will post a periodic reminder about where to find them.

Outlook Informational Meetings on Breeze

Last Friday we held our first informational meeting for the Outlook-Exchange rollout via Breeze Meeting. We had a very good turnout for this intial meeting--around 50 attendees/sites (some sites had more than one person attending). We discussed how Outlook-Exchange will work, the process and the timeline for getting accounts, switching over and attending training.

Reminder: Outlook Informational Meetings on Breeze

We will be holding our first of many Outlook informational meetings via Breeze tomorrow morning (September 9) at 10:00 AM. We will be holding additional similar meetings every other week throughout the Outlook-Exchange rollout, so if you can't attend tomorrow's meeting, there will be many other opportunities.

If you do not currently have a Breeze account (are not organizing or hosting meetings in Breeze) you will enter the meeting room by clicking the 'Click to Enter' button under 'Enter as Guest'. Signup for Outlook-Exchange Conversion

The registration system is ready for you to signup for Outlook training in October and November.

Remember, during this rollout period, signing up for training will also trigger your Exchange account setup. For an overview of how this process will work, you can check out the organizational and individual timelines.

Signups for a specific class will close 5 working days before that scheduled class. You can signup, cancel out and change your registration any time before the class closes.

A link to the Outlook class signups will be available in the right-hand column of Tech News throughout the rollout period.

Outlook Informational Meetings on Breeze

As part of the rollout of Outlook-Exchange, we're planning bi-weekly Breeze meetings to explain the rollout process. These meetings will be approximately a half-hour in length and all staff are encouraged to attend at least one session.

The very first Outlook-Exchange informational meeting via Breeze will be this coming Friday, September 9th @ 10:00 AM.

If you can't attend this first meeting, we will be holding additional meetings every other week through out the changeover process.

At last...

Some time ago, we posted information in Tech News about switching from Eudora to Outlook Exchange. This included the intital announcement, some reasons why we're switching (integrated e-mail, scheduling, etc.; shared calendars; and more flexible access to your e-mail

Over the last few months, we've setup the Exchange server and converted an initial set of users. Now, we're getting ready to extend the conversion to everyone in Extension. We have a training schedule and a process for setting up accounts. We've developed support resources, including a set of frequently asked questions. Starting this week, we'll be posting these and other important links in the right-hand column of this web page. Outlook-Exchange announcements, news, schedule changes, and resource links will be posted here first.

The official rollout for Extension's Outlook/Exchange conversion will be the week of Annual Conference, but before that date we'll have a couple of informational Breeze meetings (details to follow)Registration for accounts and classes will be opening soon.

Update: This project does not simply involve a switch from Eudora to Outlook. It also includes a new Exchange server account (this is what makes shared calendaring and integrated services possible). To make the transition as smooth and straightforward for you as possible, and to make the best use of our support resources, do not switch to Outlook now; you will still have to convert to Outlook-Exchange later.
