External Directories

During the extension year you are expected to send communications to various county and city groups within your county notifying them of meetings, etc. This is intended to help you in securing your lists.

Lists can be kept on the computer and then generated as needed. This is an easy way of being able to change and update them. Some office assistants keep lists on label sheets and make the labels on the copy machine. Either way, keeping current with groups and organizations is a constant and ongoing activity. You learn to keep your eyes and ears open to additions and corrections that will affect your lists. However you determine to do this, the key is to have a plan and be able to use it effectively in your own office situation.

Staff Directories

The staff directory is available as a Filemaker Pro template that is updated several times a year. It requires Filemaker Pro version 3.0 or above.

The template contains ten layouts.

1) Main Screen--Shows all information about an individual.

2) Staff Listing--Listing of a staff person.

3) Listing--Shows Name, Email, Phone Number, and Fax Number for people in the found set.

4) Listing 2--Shows additional information of people in the found set.

5) Avery 5160 Labels DOS--Used to print mailing labels on Avery 5160 label sheets for DOS/Windows.

6) Avery 5161 Labels DOS--Used to print mailing labels on Avery 5161 label sheets for DOS/Windows.

7) Avery 5162 Labels DOS--Used to print mailing labels on Avery 5162 label sheets for DOS/Windows.

8) Avery 5160 Labels Macintosh--Used to print mailing labels on Avery 5160 label sheets for Macintosh.

9) Avery 5161 Labels Macintosh--Used to print mailing labels on 5161 label sheets for Macintosh.

10) Avery 5162 Labels Macintosh--Used to print mailing labels on Avery 5162 label sheets for Macintosh.

Downloading

The following paragraphs tell how to download the Filemaker Pro template to your computer. You can get the template through Netscape. If you have questions on downloading, contact the Computer Support Hotline at (515) 294-1725. To request training, contact Deb Coates (dcoates@iastate.edu) at (515) 294-8658. For questions on the fields or to update information, contact Deb Pospisil (pospisil@iastate.edu) at (515) 294-3684.

Netscape Instructions

1. Launch Netscape.

2. From ISU Extension's homepage (http://www.extension.iastate.edu), select "For Staff."

3. Enter your EXNET user name and password in the dialog box.

4. Select "Software & Template Downloads."

5. Select "Staff Directory." Then select "Download the Staff Directory for FMPro Version 3 and above."

6. A dialog box should appear asking what to do with this file. Choose "Save to Disk."

7. A file save dialog box should appear. Select the location to save the staffdir.fm file.

 

To open the database:

1. Go the folder where staffdir.fm is located. (Step 7 above.)

2. Doubleclick on staffdir.fp3.

3. Click OK in the password dialog box. If this doesn't work, start Filemaker Pro, choose open from the File menu, and choose the staffdir.fp3 file from the appropriate folder.
