(Revised September 2006) Section 10.A

Section 10.A -- Extension Publications

Publication Policies

Extension Distribution Center (EDC) requests that you follow these guidelines when ordering and selling publications. ISU Extension attached a cost to most publications of more than four pages beginning July 1989. The policies have been developed to try and spread financial risk. For this system to work, it is important that all counties charge the same price for each publication.

Ordering Information

Visit the ISU Extension Online Store (https://www.extension.iastate.edu/store/) for all ordering.  Click on the FAQ page for ordering instructions.  If you cannot find what you are looking for, try the search tips page.  Extension staff must login for all available publications and discounts.

Sales Tax

Sales tax does not need to be collected on publications.

Reporting of Sales by Counties

The Sale of Cost Publications form is used to report the cash sale of cost publications. You do not need to write individual receipts for cash only. Each line requires only the date, individual's name who received the publication, publication number (optional) and amount received for the publication.

The total amount received in cash for cost publications listed on the form must be receipted in your consecutively numbered receipt book upon deposit of these funds.

All checks should have individual receipts.

If an individual wants a receipt for cash paid, use your consecutively numbered receipt book for receipting in.

Publication Return Policy

Publications will be accepted at Extension Distribution Center (EDC) for credit return, not cash reimbursement, of the price paid, subject to the policies detailed below:

  • CONDITION - Publications returned must be a current issue, unused, and can be distributed to another customer (not damaged, written on, stamped, or soiled, no stickers, or sticker residue, etc.) when they reach EDC.
  • Because of the cost of accounting and restocking time, please keep your returns to a minimum.  DEADLINE  - 30 days from ship date.
  • To process a return, the following must accompany the product:
    • PAPERWORK - a copy of the original order “Packing Slip” or Invoice.
    • The quantity and reference number of each item being returned.  This includes cost and no cost “FREE” publications (for inventory purposes).
    • Reason for return (i.e., overstock, limited storage, ordering error, billing error, shipping error, etc.).

There will be no returns on annual publications (i.e. end of year crop research reports, garden calendars, etc.).

A RESTOCKING FEE of $28.80/hour (minimum of $7.20) will be charged if paperwork is not included.

EDC reserves the right to revoke any original discounts when processing a return.

EDC reserves the right to refuse issuing credit for failure to meet any of the above details.  Any publications, which cannot be resold, will be destroyed.  Shipping and Handling will not be credited.  Return Authorizations are available.

Campus Departmental Orders

Visit theISU Extension Online Store (https://www.extension.iastate.edu/store/) for all ordering.  Click on the FAQ page for ordering instructions.  If you cannot find what you are looking for, try the search tips page.  Extension staff must login for all available publications and discounts.
Campus delivery or pickup at EDC are options to select on the shipping screen.  All orders, regardless of $$ amount require an intramural fund account number.

  • The author(s) of a cost publication can request up to 5 percent of the total number printed (minimum of 100 copies) and receive them at no charge upon the initial printing. This allotment is to be shared if there are multiple authors--not 5 percent for each. These may be used at the author's discretion.  After the initial printing, order and pay through the online store.
