ISU Extension staff photo procedure

There are three ways for you to have an Extension staff photo taken. Also refer to the most cost-effective photo option, near the bottom of this page in blue.

1. You can have your photo taken at Extension annual conference:

  • There is no sitting fee charge if you have your photo taken at annual conference.

  • A few weeks after having your photo taken, you will receive an email with a Web link to your online proof sheet.

    Select one pose and email the number of your choice to Jeanette within 2 weeks.

  • Your online proof sheet will be replaced with your selected photo, and the Web link emailed to you.
    Digital photos will be available as JPEG files (in high resolution 300 dpi [for print] and 72 dpi [for Web]).

    If you want prints, there are one or two high resolution photo files available at the Extension Staff Photo Directory for all photos taken in 2005 and later. The link/s are located directly under the three photos on each photo page. Download the high resolution file and (1) burn it to a CD or copy it to a memory stick and take to your local photo shop to have prints made, or (2) print out on photo paper. If your photo was taken prior to 2005 and you do not see the high-resolution photo file link/s, please email Jeanette.

2. You can have your photo taken at an ITC photo shoot (any time of year):

  • Contact IT Services, 1200 Communications Bldg., Ames, IA, 50010-3242, 515-294-3223, and make an appointment for a photo shoot. Please note at that time that you are an Extension employee, and your photo should be sent to Jeanette in the Extension 4-H Youth Building. (Extension Communications stores the photos.) There is a sitting fee for photos taken at IT Services when using an intramural (campus or area) or a county accounts receivable number (starts with 000), or if using cash or charge payment. For sitting fee rates, please contact IT Services at 515-294-3223.

  • Within a few days, you will receive an email with a Web link to your online proof sheet.

3. You can submit your own photo (with year taken):

  • If you have a professional photo and wish to submit it, please mail or give your photo (with year taken) to Jeanette at the address below. A negative or high-resolution digital file is preferred, but a photo also will do. (A professional photograph refers to one taken by a professional photographer in a studio, as opposed to sending in a photo that someone snapped casually. You should be wearing work attire.) If local photos are copyrighted, a signed release from the photographer is required.

Prints

How do I get prints?
If you want prints, there are one or two high resolution photo files available at the Extension Staff Photo Directory for all photos taken in 2005 and later. Download the high resolution file and (1) burn it to a CD or copy it to a memory stick and take to your local photo shop to have prints made, or (2) print out on photo paper. What if I want a larger photo, like 5"x 7," or 8"x 10"?
Refer to the answer given above, about getting prints. Then be sure to download the full-sized high resolution photo file.

Extension Staff Online Photo Index - general questions

I had my photo taken for an ISU I.D. card; can it be used by Extension as well?
ISUCard Office (515-294-2727, idcard@iastate.edu) and Extension are two separate entities, and files cannot be shared (this is ISU administrative policy). The three methods at the top of this page give instructions on the ways to have your Extension staff photo taken. All new photos are automatically put online at the Extension Staff Photo Index unless the person indicates otherwise.

How can I get my photo added to the Extension Staff Photo Index?
Simply email or phone (515-294-6804) Jeanette Foshee at Extension Communications.

Why wasn't my photo automatically added to the Extension Staff Photo Index?
Permission is needed for older photos to go online; new photos are automatically added unless the person indicates otherwise. Each person needs to contact Jeanette (email or phone 515-294-6804), and request that his/her photo be added to the online index. If a second party requests a photo be put online, this is done and an email is sent to the person in the photo, alerting them that his/her photo is available online. That Extension staff member can either let it remain online, or have it removed by contacting Jeanette (email or phone 515-294-6804) and requesting to "opt out." Once a person has opted out, his/her photo will not go online for any reason unless that person emails or calls Jeanette and has his/her name removed from the opt out list.

What's the most cost-effective way to have my photo available?
Have your digital photo taken at Extension annual conference (no sitting fee), and have your photo made available on the Extension Staff Photo Index. All new photos are automatically added to this Web site, and an email with the URL to your photo page will be sent to you.

Do you keep all past and present photos at EMMS?
Only the most current photo is stored; all past photos are purged.

What if I need a different-sized or different format photo online?
Email or phone Jeanette (515-294-6804) with the size or format you need.
